How to Confidently Plan your wedding

Planning a wedding is one of the most exciting seasons of your life—but let’s be real, it can also feel overwhelming. Between vendor decisions, budget questions, and trying to balance “Pinterest-perfect” with “real life,” stress can sneak in quickly.

The good news? You can plan your wedding without the burnout. As a virtual wedding coach, I’ve guided countless couples through the DIY process, and I’ve seen firsthand that organization, strategy, and a little support make all the difference. Here’s your roadmap.

Step 1: Break It Down with a Step-by-Step Outline

Instead of tackling everything at once, focus on manageable steps:

  • Start with the big three: budget, guest list, and venue.

  • Work in layers: vendors, design, logistics.

  • Save the details for last: favors, décor extras, and final touches.

This approach prevents the “everything is urgent” panic spiral.

Step 2: Stick to a Real-World Timeline

Wedding timelines online can be either too rigid or too vague. The truth? Every couple’s timeline looks different. Here are some general markers:

  • 12 months out: book your venue and secure key vendors.

  • 6 months out: send save-the-dates, choose attire, finalize your menu.

  • 3 months out: confirm décor, create your day-of timeline, and lock in ceremony details.

  • Final month: double-check with vendors, finalize seating, and plan for self-care.

Pro Tip: Build in buffer time. Life happens, and wiggle room means less stress.

Step 3: Vendor Selection Without Second-Guessing

Vendor hunting can be one of the most stressful parts of DIY wedding planning. Here’s what I recommend:

  • Do the research, then stop: Give yourself a set time frame to research options. Endless scrolling = decision fatigue.

  • Interview with intention: Ask vendors about fit, flexibility, and values, not just price.

  • Trust your gut: If a vendor feels like a partner, that’s just as important as their portfolio.

Step 4: Stay Organized—Virtually

Gone are the days of giant binders. Today’s couples thrive with:

  • Shared documents (Google Drive, Notion, Trello).

  • Vendor email folder to keep communication streamlined.

  • Virtual coaching for accountability and quick problem-solving.

Couples often send me quick updates or questions in real time—whether they’re at a vendor meeting or reviewing details late at night. Virtual planning keeps everything moving smoothly.

A Personal Coaching Story

One couple I worked with in 2024 was planning their wedding while both juggling demanding jobs. They were DIY’ing everything and starting to feel like it was too much. Together, we built a virtual system where they divided tasks weekly, checked in with me for accountability, and kept all details in one shared folder.

By the time their big day came, they weren’t just “ready”—they actually enjoyed the weeks leading up to the wedding. That’s the power of a structured, stress-free approach.
